This explains what ACA Study Partner keeps about you, why, and what you can do about it.

ACA Study Partner is a trading name of Jags Journey Limited ("we", "us", "our"), a company registered in England and Wales, company number 16500772, registered office Union House, 111 New Union Street, Coventry CV1 2NT. We're responsible for your data (the "controller"). ICO registration number: ZB996683. Questions or requests: [email protected].

What we keep

Your account. Your email address, and which devices you're logged in on (a random device code, a device label from your browser, like "iPhone", when each was last seen, and which login is on it). Your login is made when you join or buy something. This is how you log in and how we stop one membership being shared around.

Your setup answers before you sign up. If you answer the setup questions before signing up (your exams, exam dates, the hours you can study each day, tuition and days off, questions you've done or saved and, for Business and Digital Strategy, how confident you feel and any mock mark), they're kept on your device so you don't lose them. When you sign up for the free trial, they're kept in our database for up to 30 days, so your planner can pick them up when you first log in, and they're removed once your plan is built. If you go on to a paid checkout instead, they travel with it through Stripe. If you don't finish signing up, they're never added to our database: they stay on your device for up to 30 days.

Free trial sign-up. When you start the free trial we keep your email, the time you ticked the boxes to say you're 18 or over and that you agree to the terms, when your 14 days start and end, and where you heard about us if you came through a link (for example our waitlist, TikTok or LinkedIn). We need these to run your trial, to check it's one trial per email, and to show you the right price afterwards. We don't ask for a card.

Plan checks. During early access we personally check a sample of plans, and any plan a student flags. To do that we can see your plan and the setup answers it was built from.

Logging in with Google. If you tap Continue with Google, Google tells us your email address, your name, a link to your profile picture and the number Google gives your account, and nothing else: never your password or anything else in your Google account. We use only the email, to match you to your membership. The rest stays with your login and isn't used. Google's sign-in page is Google's own, under Google's privacy policy.

Your study data. Your exams, plan, the questions you log, marks, notes, flashcards, journal entries, check-ins, habits, life commitments you add, mock and exam results, your training file, work days and work experience, answer screenshots and settings. It's all saved to your account as one planner, so it's the same on your phone and laptop.

Other students can't see it. We don't read your planner day to day. Apart from the plan checks above, we only open it if you ask us to help with a problem, or if the law says we must. We do run counts across all students, like how many tasks were ticked off or how many students are on each kind of plan. Those read your data to add it up, but what we see is totals.

Removed screenshots. When you remove a screenshot, the file stays for 8 days, so Undo, your safety copies and your other device can still bring it back. After that it's deleted the next time you open the app, unless a safety copy still needs it. If your membership has ended, it stays until your account is deleted.

Safety copies of your planner. Before anything replaces your planner (like starting again), we keep a copy, and each night we keep a copy if it changed that day. Each one is a copy of your whole planner, not just your plan. You can bring them back from Settings. Each copy is deleted after 7 days.

Tips you share. If you send a study tip, our server checks it automatically. The check is simple rules, not AI. If nothing is flagged, the tip goes up straight away. Anything flagged waits for us to read. Tips are shown to other members as from "Student", never with your name. We keep which tips you've marked helpful.

Building your plan. Your plan is built on our server from your setup and the questions you've logged, so it can work round what you've already done and what's going wrong. We keep the plan itself and a count of how many times it's built each day. Each plan also goes through an automatic check against our planning rules. If a check fails, we keep a private note of which rule, your exams and dates, and your weekly hours, so we can look into it. Your alerts (when your plan flags a risk, and what you chose) are kept with your study data.

Issues and reviews. If you raise an issue or leave a review in the app, we keep what you write, linked to your account, so we can read it and help. A review only goes on our website if you tick that it can, with your first name if you give one.

Ideas for the app. If you share an idea, it gets the same automatic check on our server. If nothing is flagged, other members see it straight away and can vote for it. Anything flagged waits for us to read. They see the idea, not your name, unless you add your first name to show with it. We keep who voted for what so nobody votes twice, and nobody else can see it.

The check on posts. The check is simple rules, not AI, and it runs on our server. It looks for things like links, contact details, abusive words, scam wording, people sharing or asking for exam or tuition material, and mentions of self-harm or suicide. If it flags a post, we keep what it flagged so we can see why, and we read the post ourselves before deciding. We also keep the date you ticked the posting rules.

Reports. Members can report a tip or an idea. We keep each report, any reason given, and a copy of the post's words, even if the post is later deleted, so we can deal with it. We keep who reported so nobody can report a post twice, but that's hidden from other members, including the person who wrote the post. A post with three reports is hidden until we've looked at it. We keep reports for 12 months after we've closed them. If your account is deleted, your reasons and the copies of your posts are taken out of them.

Deleting a post. You can delete your own tips and ideas in Settings › Help and feedback › Your posts. A deleted post goes from view straight away. You can bring it back for 7 days, then it's deleted for good.

How the app's used, and errors. We keep which days you open the app (the date only), so we can see how many students use it and come back. If the app or our server hits an unexpected error, we keep a short note of it: the error, the screen, the app version and the time. Notes from the app are linked to your account, so one person's errors can't flood the log. We take out your email and anything that looks like your own words before a note is kept. Error notes are deleted after 90 days. We also keep which main parts of the app you open each day, like Today or flashcards, so we can see what's used and what isn't. The journal is only counted if you've said yes to storing what you add there. That's only the feature and the date, never what you do or write there, and it's deleted after 13 months. We can see this for each student, like when you last opened the app and which features you use, to support you and improve the app, but never what you write in your journal or notes. This all stays in our own database, with no tracking cookies. Visits are counted separately by Cloudflare, as described below.

Payments. Stripe handles payments. We never see or store your card details. We keep your membership type, status and renewal date, your Stripe customer number, and what you've bought from the shop.

Referrals. These aren't running at the moment. If they start and you join through someone's link, we keep a note of whose link it was, so they get their reward or commission. A friend sees how many people joined with their link. An affiliate sees totals, plus the date, what was bought and their commission for each recent sale. Neither ever sees your name or email.

If you're an affiliate. We keep your name, email, code, share and how long it runs, what you've earned and what we've paid you.

Ask, Quiz me and stories (AI), when available. These aren't switched on yet, and we'll tell you before they are. When they are, what you type is sent to Anthropic's Claude to write the answer, along with the context it needs: your exams and their dates, how far through each topic you are and where you've gone wrong, your weak spots and mock marks, and for Quiz me and stories, the notes or flashcards you choose. Your journal and screenshots are never sent. It isn't used to train their models. We keep a count of how many questions you ask each minute, day and month, to keep usage fair, not the questions themselves. We can also switch these off for one account, and we keep a note if we have.

Our admin work. We use Claude Code, Anthropic's AI tool, to run our admin commands. When we do, the issues, reviews, ideas, tips and reports those commands show us can be processed by Anthropic. This happens whether or not the AI features above are switched on. Our Claude account is set so that this data isn't used to train AI models.

Your calendar feed. If you put your plan in your calendar, a copy of your plan's dates sits behind a private link only your calendar knows.

Keeping things secure. Like every website, the app's hosting companies handle your internet address and keep request logs (the page asked for and when), to deliver the app and keep it safe. To stop anyone flooding the checkout, our server counts the checkouts started in each ten minutes, by a scrambled code made from the internet address or email they came from (never the address or email itself). Old counts are cleared out as new ones come in, usually within a few days.

Sensitive information

Your journal, mood check-ins, habits and anything you type into a free-text box are optional. You don't need them to use the app, and your plan works without them. What you write there can reveal things about your health, so only add what you're happy for your planner to hold. You can change or delete it any time.

The first time you use the journal or a mood check-in, we ask you to tick a box to say you're happy for us to store what you add. That's your explicit consent, and it's what lets us hold any health details you add there. You can withdraw it any time in Settings › Account, and everything else keeps working. When you withdraw, we'll ask whether to delete what you've already written or keep it until you delete it yourself.

Extra time in your exam is a percentage, it's optional, and we never ask why you have it.

Why we're allowed to use it

Who helps us run it

These companies process data for us, under contracts that protect it:

Others see a little, only if you choose to use them:

We never sell your data.

Transfers outside the UK

Your planner is stored in London. Anthropic, Google, Resend, Stripe, Kit and Cloudflare can handle data outside the UK, mostly in the US. Where those providers take your data outside the UK, it's sent under approved safeguards. Stan may also handle data outside the UK. It only holds orders and sign-ups made through our Stan page, and we're still confirming its safeguards.

How long we keep it

Questions we may ask you

We may ask why you joined, why you didn't continue, or why you left. Answering is always optional. We keep your answer, and a dated history of your membership (like when you joined, renewed or cancelled), to improve the app. Both are in Download my data. If you delete your account, anything you typed in your own words is deleted. The reason you picked and the dates stay, with your name and email removed.

We also keep the payment records we need for our accounts, from Stripe, including payments, refunds and failed payments. If you delete your account, these stay with your name and email removed. Card details stay with Stripe.

We also count how many people reach each setup question, as totals with no person attached.

Nothing here is used for Success Subtext marketing, and you'll never be added to a mailing list automatically.

Cookies and storage on your device

The app only stores what it needs to work, so there's no cookie banner. We count visits and sign-up steps (for example, how many people reached each step, and which link they came from) as simple totals in our own database, and through Cloudflare's cookie-free visitor counts. Neither uses a cookie or follows you around, and the totals don't say who you are. When you ask for a login link or tap Continue with Google, a one-off security code is kept on your device so the login can be checked; it's only used to log you in. If you answer the setup questions before signing up, your answers are kept on your device for up to 30 days so you can carry on where you stopped. Everything else is stored once you log in:

If you arrive through a friend's or affiliate's link, their code travels in the web address while you join; it isn't stored on your device. If you join, it's kept with your records as above. There are no advertising, analytics or tracking cookies, and nothing loads from Google or social networks. Fonts and code are served from the app itself, apart from Cloudflare's small visit-counting script. Payment pages are run by Stripe, who set their own cookies to keep payments secure (see stripe.com/privacy).

Your rights

You can ask us for a copy of your data, to correct it, to delete it, to limit or stop how we use it, or to move it elsewhere. The quickest way to get a copy is the Download my data button in Settings › Account. If your membership has ended, use the same button on the locked screen, or email [email protected] and we'll send you a copy. For anything else, email [email protected] and we'll reply within a month.

Complaints about your data

If you're unhappy with how we've handled your data, email [email protected]. We'll acknowledge it within 30 days and reply without undue delay. You can also complain to the Information Commissioner's Office (ico.org.uk).

Age

ACA Study Partner is for people aged 18 or over.
